Uploading files is a fundamental task that allows you to store and share documents, images, and other digital files using Sana AI. In this guide, we'll walk you through the steps to upload files with Sana AI, ensuring a smooth and efficient process.

Uploading Files Step-by-Step

Access the Upload Feature:

Open the Sana AI platform and navigate to the desired location where you want to upload the file. This could be a specific folder, collection, or a file storage area within Sana AI.

Different Ways to Upload Files:

Files uploaded to Sana AI are by default private, ensuring your data remains secure until you decide to share it. You can upload files using one of the following methods:

  • Drag-and-Drop: Simply drag files from your computer and drop them into the designated area in the Sana AI interface. This method is efficient for quickly moving multiple files.

  • Select and Upload: Click the "Upload" button, then use the file selection dialog box to choose one or more files from your computer. You can select multiple files at once by holding down the Ctrl (Windows) or Command (Mac) key while clicking on the files.

Upload Directly to Collections:

You can also upload files directly to specific collections within Sana AI. To do this, navigate to the collection where you want to upload files, and use either the drag-and-drop method or the select and upload method. Files uploaded to a collection inherit the access rights of that collection, making it easy to manage who can view or edit your files.

Start the Upload:

Once you have selected the file(s), click on the "Open" or "Upload" button in the file selection dialog box to start the upload process. The progress of the upload will be displayed within Sana AI, allowing you to track the status.

Wait for the Upload to Complete:

Depending on the size of the file(s) and your internet connection speed, the upload process may take some time. Please be patient and avoid navigating away from the upload page until the process is complete.

Confirmation and Access:

Once the upload is complete, you will usually receive a confirmation message within Sana AI indicating the successful upload. The uploaded file(s) will now be available in the designated location within Sana AI.

Troubleshooting Upload Issues

You can receive either an Error or Warning when uploading a file, if that is the case, you can click on the message to get more informaiton.

  • I receive "Warning": This status indicates that some of the information in the file has not been fully indexed, which could happen if the file is too long, among other reasons. While this does not prevent the file from being used, it may affect how content is displayed or searched within Sana AI.

Tips for Successful Uploads

  • File Size Limitations: Be aware of any file size limitations imposed by Sana AI. If your file exceeds the size limit, consider compressing it or using alternative methods such as cloud storage services.

  • Supported File Types: Ensure that the file type you are attempting to upload is supported by Sana AI. Common file types like PDF, DOCX, JPG, and PNG are usually supported, but it's always a good idea to check Sana AI's documentation for specific details.
