User groups allow you to manage access efficiently by grouping users with similar access needs. This feature is particularly useful in environments where multiple users require access to the same resources, such as files, meetings, or collections. By creating user groups, you can assign permissions once to the entire group rather than to each user individually.

Key Features of User Group Management

  • Centralized Access Control: Manage permissions for multiple users by assigning them to a group, making it easier to control who has access to what.

  • Simplified Sharing: Share files, collections, meetings, and agents with entire groups, reducing the complexity of managing individual user permissions.

  • Efficient Management: Only workspace owners can manage the group, ensuring that changes to group membership or permissions are controlled and secure.

  • Flexible Sharing: Any user with sharing access can utilize groups to share resources, enhancing collaboration and productivity.

Creating and Managing Groups

  1. Create a Group: Only owners can create and manage groups.

To create a group, navigate to Settings> Workspace settings > Groups.

Click Create group and assign a name and description to the group for easy identification.

  2. Add Users: Add users to the group by selecting them from the user list. You can add multiple users at once, making it easy to populate the group with the necessary members.

  3. Assign Permissions: Once the group is created, assign the appropriate permissions to the group. This could include access to specific files, collections, meetings, or agents.

  4. Manage Group Membership: As a workspace owner, you can add or remove members from the group as needed. This ensures that the group remains relevant and up-to-date with the current access requirements.

By leveraging user group management, you can enhance collaboration, improve security, and simplify the process of managing access across your organization. This feature is designed to make your workflow more efficient and your resource management more effective.
