Introduction

Scheduled tasks in Sana Agents help you automate recurring work—whether it’s daily check-ins or monthly retrospectives. By setting up scheduled tasks, you ensure that important workflows happen automatically, right on time.

This not only saves you time but also brings consistency and reliability to your processes. Scheduled tasks are a powerful way for everyone, from new users to seasoned pros, to boost productivity and keep work running smoothly.


How to use scheduled tasks

1. Access scheduled tasks

Go to the Tasks section in Sana Agents.
Click on Scheduled to view all your scheduled tasks.

2. Create a scheduled task

  • In the Tasks tab, click Create task.

  • Set up your task:

    • Task name and instruction: Clearly describe what the task will do.

    • Sources: Specify which files or databases the task will use.

    • Access settings: Decide who can view or use the task.

  • After creating your task, click on it to open the schedule tab.

  • Go to the Schedule tab to set how often the task should run (daily, weekly, monthly, or annually).

    • Choose the time you want the task to run.

    • When you’re ready, click Start to activate automatic running.

  • Once set up, you’ll be able to see how often your scheduled task runs, when it will run next, and you can always run it manually by clicking Run now.

3. Edit, unschedule, or delete a scheduled task

  • In the Scheduled Tasks dashboard, find and click on the task you want to change.

  • Use the three dots next to the schedule tab to:

    • Edit the task

    • Unschedule (disable) the task

    • Delete the task

All changes take effect immediately for the next scheduled run.


When to use scheduled tasks (use cases)

Scheduled tasks are ideal for:

  • Daily workflows: Automate routine check-ins, reminders, or data pulls.

  • Weekly or monthly reports: Ensure regular updates are always delivered on time.

  • Project milestones: Trigger tasks for retrospectives, reviews, or status updates.

  • Compliance checks: Run audits or compliance tasks at set intervals.

  • Team communications: Schedule recurring meeting agendas or follow-ups.

Automating these processes with scheduled tasks keeps your team on track and frees up time for more meaningful work.
