Sana iOS App: Getting Started

Introduction

The Sana iOS app brings the power of Sana's AI assistant to your iPhone and iPad. Whether you're on the go, in a meeting, or working from anywhere, the app provides a seamless way to interact with your AI assistant, search your knowledge base, manage meetings, and access your workspace information.

This guide walks you through downloading, installing, and setting up the Sana iOS app so you can start using it right away.


Step-by-Step Setup Guide

Step 1: Download the App

  1. Visit https://sanalabs.com/agent-platform-app, or open the App Store directly on your device

    You can also use this QR Code:

  2. Search for "Sana" (developer: Sana Labs AB)

  3. Tap Get, then enter your Face ID, Touch ID, or password

  4. Tap Open when installation completes

Step 2: Choose Your Sign-In Method

Select the sign-in method that works best for your workspace:

Continue with Google

  • Use your Google Workspace account email

  • Fastest option if your organization uses Google

  • Tap "Continue with Google," select your account, and approve permissions

Continue with Apple

  • Use Face ID, Touch ID, or your Apple ID password

  • Most private option—Apple doesn't share your email unless you choose

  • Tap "Continue with Apple," authenticate, then choose to share or hide your email

Work Email (Magic Link)

  • Receive a one-time login link in your inbox

  • No password required—just tap the link or enter the 6-digit code

  • Great if your organization doesn't use Google or Apple authentication

  • Check your spam folder if the email doesn't arrive

SSO (Single Sign-On)

  • Your organization's identity provider (Okta, Azure AD, Ping, Google Workspace) handles authentication

  • The app auto-detects if your workspace requires SSO

  • You'll be redirected to your company's login page

  • Most secure option for enterprise workspaces

Note: If you've previously signed in with a different method on the same email address, the app will prompt you to merge accounts. Confirm the merge to keep all your chats and settings in one place.

Step 3: Grant Permissions

When you first launch Sana, iOS will request several permissions. Here's what each one does:

  • Notifies you when meeting summaries are ready

  • Lets you know about important updates

  • Re-enable anytime: Settings → Notifications → Sana

Calendar (optional but useful)

  • Syncs your Google or Outlook calendar

  • Populates the Meetings tab with your scheduled events

  • Required if you want automatic meeting recording

  • Connect this later: Profile → Integrations → Calendar

File storage (optional)

  • Lets Sana search files in Google Drive, OneDrive, and other services

  • You can enable specific integrations later

  • Connect this later: Profile → Integrations

Tip: If you deny a permission by accident, go to SettingsSana to re-enable it anytime.

Step 4: Set Up Your Workspace

After signing in, you may see a setup screen. Here's what to configure:

  1. Verify your name and workspace: Confirm these are correct

  2. Choose your theme: Light, Dark, or Auto (follows your system setting)

  3. Connect integrations (optional): Add Calendar, Email, or Files now, or do it later

  4. Enable notifications (optional): Let Sana send you alerts

All of these can be changed later:

  • Theme: Profile → Preferences → Theme

  • Integrations: Profile → Integrations

  • Notifications: Profile → Preferences → Notifications

Step 5: You're Ready!

You're now set up and ready to use Sana. Your home screen will show the Chat tab. Start typing a question or tap the microphone icon to try Voice Chat.

  • iPad: All iPad models supporting iPadOS 15.5 or later

Pro Tip: Devices with an A12 Bionic chip or newer (iPhone XR, iPad Air 3rd generation, or later) offer smoother voice chat and meeting recording performance.

What You'll Need Before Starting

  • iPhone 8 or newer (or any iPad supporting iOS 15.5+)

  • An active Wi-Fi or cellular connection

  • Your workspace sign-in credentials (Google, Apple ID, work email, or SSO details)

  • Approximately 5–10 minutes for setup

Have your workspace email or sign-in method ready. If you're unsure what your organization uses, check with your admin.


Troubleshooting

Can't download the app

  • Verify you have at least 500 MB of free storage on your device

  • Check that your iOS version meets the minimum requirement (iOS 15.5+)

  • Try restarting the App Store

  • If issues persist, try downloading over Wi-Fi instead of cellular

Can't sign in

  • Verify you're using the correct sign-in method (Google, Apple, SSO, or email)

  • Check your internet connection

  • Try switching between Wi-Fi and cellular

  • If using SSO, clear Safari cookies and try again

Can't grant permissions

  • Go to Settings → Sana and manually enable each permission you need

  • If a permission is grayed out, your device may have restrictions enabled

  • Check Settings → Screen Time → Content & Privacy Restrictions

App crashes on launch

  • Force close the app: swipe up from the bottom (iPhone X and later) or double-tap home (iPhone 8), then swipe up on Sana

  • Restart your device

  • Delete the app and reinstall it from the App Store

  • If issues continue, contact Sana Support

Stuck on setup screen

  • Pull down to refresh

  • Sign out and sign back in

  • Force close the app and reopen it

  • Try over a different connection (Wi-Fi vs. cellular)

Session keeps expiring

  • Your workspace policy may enforce shorter timeouts

  • Try signing out and back in to refresh your session

  • Contact your admin if you're being logged out too frequently

Not receiving notifications

  • Go to Settings → Notifications → Sana and enable "Allow Notifications"

  • Check that Do Not Disturb isn't active

  • Verify Quiet Hours aren't blocking notifications: Profile → Preferences → Notifications

  • Check Focus Modes: Settings → Focus may have Sana muted


FAQ

Q. What if I don't have all the permissions enabled?

A. You can still use Sana with text chat. Microphone access is only needed for Voice Chat. Calendar and file storage are optional but unlock additional features. You can enable permissions anytime in Settings → Sana.

Q. Can I switch sign-in methods later?

A. Not directly. If you need to change your sign-in method, sign out (Account → Sign Out), clear your app cache, and sign in again with your new method. The app will prompt you to merge accounts if you're using the same email.

Q. Do I need a specific workspace plan to use the iOS app?

A. All Sana workspaces support the iOS app. Check with your admin if you're unsure whether your organization has Sana enabled.

Q. How do I delete my app data?

A. Go to Settings → Sana and toggle "Clear App Data." This removes cached chats, files, and settings but doesn't affect your account. Sign back in anytime to restore access.

Q. Can I use the app in multiple workspaces?

A. Yes. If you're a member of multiple Sana workspaces, sign in with the same account. You can switch between workspaces in Profile → Workspace Selection.

Q. Is my data secure?
​A. Yes. Data is encrypted in transit (TLS 1.2+) and at rest (AES-256). Sana is SOC 2 Type II and ISO 27001 certified. All data stays within your organization's tenant.
