Sana iOS App: Account, Integrations & Preferences

Introduction

Your Profile tab is your command center for managing your account, connecting integrations, and personalizing your Sana experience. Everything you need to customize how you work is just a few taps away.


How to use the feature

Account and workspace management

View your profile

  • Workspace name — See which workspace you're in

  • Your name and email — Verify your profile information

  • Switch workspaces — If you're in multiple workspaces, switch between them here

Sign out

  • Tap Profile → Account → Sign Out to log out of your workspace

Integrations

Integrations connect Sana to your work tools so it can search and reference content from those sources.

Available integrations

  • Calendar (Google, Outlook) — Syncs meetings for summaries and recording

  • Email (Gmail, Outlook) — Searches email and pulls context into chats

  • Files (Google Drive, OneDrive, Notion, Confluence) — Indexes documents for search

  • Others — Depending on your workspace setup (Slack, Jira, HubSpot, etc.)

How to connect an integration

  1. Go to Profile → Integrations

  2. Tap the service you want to connect (Calendar, Drive, etc.)

  3. Tap Connect

  4. Approve the permissions in the OAuth popup

  5. The integration shows as "Connected"

When an integration expires

If you change your password or revoke access from your account settings, the integration will show "Token Expired" or "Re-authenticate required."

To fix it:

  1. Go to Profile → Integrations

  2. Tap the integration

  3. Tap Disconnect

  4. Tap it again and choose Connect to re-authenticate

Best practice: Re-authenticate integrations every 90 days for extra security.

Preferences

Theme

  • Light — Bright interface for daytime

  • Dark — Low-glare interface for nighttime (saves battery on OLED iPhones)

  • Auto — Follows your system appearance setting

Notifications

  • Chats — Get alerts when Sana or teammates respond

  • Meetings — Notify you when meeting summaries are ready

  • Updates — Announcements about new features

  • Quiet Hours — Mute notifications during specific times (e.g., 10 PM – 7 AM)


When to use each feature

Account & Workspace

  • When you need to log out or switch between workspaces

  • When verifying your profile information

Integrations

  • To connect calendar, email, or file sources

  • To fix expired authentications

  • To enable new knowledge sources for search and chat

Preferences

  • To match your working style (Light or Dark Mode)

  • To control when you receive notifications

  • To set Quiet Hours so you're not interrupted during sleep


FAQ

Q. How do I switch workspaces?
A. Go to Profile → Workspace Selection and choose the workspace you want to access.

Q. Do I need to connect all integrations?
A. No. You only need to connect the integrations that matter to your work. Calendar is recommended for meetings, and File integrations help with search.

Q. What happens if I disconnect an integration?
A. Sana will no longer search or reference content from that source. You can reconnect anytime.

Q. Can I have different notification settings for different integrations?
A. You can set global notification preferences for Chats, Meetings, and Updates, or use Quiet Hours to mute everything during specific times.

Q. Is it safe to re-authenticate my integrations?
A. Yes. Re-authenticating refreshes your connection and ensures your data stays secure. We recommend doing this every 90 days.
