Introduction
Workflows in Sana Agents help you turn complex, multi-step work into simple, reusable flows. Instead of rewriting long, one-off prompts, you can define clear steps, set inputs, and let Sana handle the heavy lifting again and again.
With workflows, you can:
Run multi-step processes that can branch and adapt, not just follow a rigid list.
Reuse clear variables and inputs, so anyone can run the same workflow with confidence.
Discover, understand, and organize workflows in a dedicated space.
Keep track of results in a focused inbox so they never get lost in chat.
How to use workflows
You can start a workflow in two main ways.
A. From the Workflows page:
Open Sana Agents.
Go to the Workflows section in the sidebar.
Browse the list, or use search and filters to find the workflow you need.
Review the icon, description, and category to quickly understand what each workflow does.
Select a workflow to open its details.
Fill in any required inputs, then select Run workflow.
B. From a new chat:
Start a new chat in Sana Agents.
Before you begin typing, select a saved workflow from the list.
Review the workflow description and steps so you know what it will do.
Fill in the required inputs and choose sources or web search options, if available.
Select Run workflow to apply it directly in the conversation.
Sana will execute the workflow as a multi-step process. It can reason across steps and adjust as it goes, instead of rigidly completing one step before moving to the next.
How to navigate and find workflows
Browse and search
The Workflows area is designed to make discovery simple and intuitive.
You can:
Browse all workflows available to you on the Workflows page.
Use the search bar to find workflows by title or keyword to your task.
Scan categories, and short descriptions to quickly see what each workflow does before opening it.
Use filters, categories, and views
To quickly narrow down the list:
Filter by ownership, such as My workflows to see workflows you created or own.
Filter by category, such as Sales, Support, Finance, HR, or Engineering.
Use additional filters for example recently used or recently created where available.
Save favorites
Workflows also supports favourites:
Mark frequently used workflows as favorites so they are easier to find.
Access your favorites from a dedicated Favorites view or filter.
Encourage your team to favorite shared workflows they rely on often.
Discover details before you run a workflow
To understand a workflow before you run it:
Open the workflow from the list.
Review the Title, Description, Category, and Owner.
Check the Inputs section to see what information is required.
Review the Steps to understand how the workflow will use your inputs.
This helps you choose the right workflow and gives you confidence before you run it.
When to use workflows
Use workflows whenever you want to make important work consistent, repeatable, and easy for others to run.
Good signals that you should use (or create) a workflow:
You keep writing the same long prompt in chat.
Teammates often ask you for help with the same type of task.
You want to ensure that recurring tasks follow the same structure and quality bar.
You want a single, trusted way to handle a process, instead of many ad hoc approaches.
Workflows help you:
Get more reliable, consistent outputs.
Make it easier for teammates who are less comfortable with prompt-writing.
Build a shared, evolving library of your organization’s best ways of working.
FAQ
Q. Are workflows deterministic?
A. No. Workflows are not designed to execute deterministically, step by step, in a rigid way. Instead, they use agentic reasoning to move through steps intelligently. This flexibility helps Sana produce better results in many real-world scenarios, even if it does not follow a strict “do exactly step 1, then exactly step 2” pattern.
Q. Could I get similar results by writing a long chat prompt instead of using a workflow?
A. Sometimes, yes. Chat remains very capable, and advanced users can achieve powerful results with well-crafted prompts. The value of workflows is that you do not need to be a prompt expert, and you can reuse what others have already curated, complete with variables, sources, and automation.
