Introduction

Scheduled workflows in Sana Agents let you run important processes automatically, without needing to remember each run. You can trigger workflows based on time, meetings, or incoming emails, and receive the results directly in your inbox

This is ideal for recurring reports, meeting preparation and follow-up, and any routine work you want to automate.


How to use scheduled workflows

Schedule a workflow

To schedule a workflow:

  1. Open Sana Agents.

  2. Go to the Workflows section and open the workflow you want to schedule.

  3. Click on edit and go to the Schedule tab.

  4. Choose a trigger, for example:

    • Run manually

    • Select a schedule

    • After meeting ends

    • Before meeting starts

    • When email is received

    In this case select Select a schedule

  5. Confirm the workflow inputs for scheduled runs, such as which calendar, inbox, or data source to monitor.

  6. Save Workflow

  7. Select Turn on, click Add instructions and then Click Activate to schedule your workflow.

Sana will now run the workflow automatically according to the trigger, and deliver the outputs without you needing to start it manually.

Edit or unschedule a workflow

To change or stop a schedule:

  1. Open the scheduled workflow.

  2. At the top, you will see Ready and Change schedule butons

  3. To adjust the schedule, click on the Change schedule button timing, then save your changes.

  4. To unschedule the workflow, Turn off or delete the schedule

  5. To update the trigger, you will have to edit the task and select a different trigger and


When to use scheduled workflows

Use scheduled workflows when you:

  • Need recurring outputs at predictable times.

  • Want to prepare before meetings without manually starting a workflow.

  • Want consistent follow-up after meetings or specific events.

  • Want to avoid forgetting routine, but important, tasks.

Examples include:

  • Weekly or monthly performance reports.

  • Daily digest of customer support cases or sales pipeline updates.

  • Meeting preparation for recurring leadership or client meetings.

  • Automatic meeting follow-up, including summaries, action items, and draft emails.

  • Email-based alerts when certain patterns appear in incoming messages.

Q. Can I schedule any workflow?

A. Most workflows that accept clear inputs can be scheduled, especially those designed for recurring tasks. However, some workflows may rely on highly specific, one-off inputs that make them a poor fit for scheduling.
